For hospitality sales teams, artificial intelligence is already changing how commercial teams prospect, prioritize opportunities, engage clients, and manage their time. The industry is past the point of asking whether AI has a role. The real question now is how to use it well.
Where can AI create the greatest value, while preserving the human relationships that drive our industry?
Today’s most effective approach is to leverage integrated tools across CRM, prospecting, and revenue platforms.
AI-powered lead scoring and automation, along with revenue platforms, enhance forecasting accuracy. Additionally, AI tools for personalization and outreach help sales teams engage prospects more effectively at scale.
The best opportunities often come from using AI to support existing sales processes rather than replacing them.
Where AI Delivers the Fastest Return
AI delivers the strongest ROI in lead qualification, outbound personalization, forecasting, and RFP response automation. These areas directly improve conversion rates while reducing time spent on manual tasks.
During my time leading commercial strategy across a major international hotel portfolio, I introduced AI-assisted outreach and CRM automation to support proactive sales efforts.
By using AI to draft personalized emails and prioritize leads based on engagement signals, the team was able to significantly increase the volume of high-quality outreach while reducing manual administrative work. This allowed sales managers to focus more on relationship-building and closing.
The results were measurable:
-
Response rates increased by 20% due to more relevant and timelier outreach. (Our Cvent response time in the group segment was the measurement used by a third party.)
-
Lead-to-opportunity conversion improved by 10% through better prioritization.
-
Overall, this contributed to incremental revenue growth, particularly during need periods where speed and targeting mattered most.
While results varied by segment, the consistent theme was improved efficiency translating into stronger pipeline performance.
Real Efficiency Versus the Illusion of Productivity
I think one of the biggest misconceptions about AI is that more activity automatically creates better outcomes.
Yes, AI genuinely saves time by automating administrative work, generating content, and simplifying reporting. Sales teams can spend less time on repetitive tasks and more time focusing on revenue-generating activities.
However, AI can create an illusion of efficiency when it increases activity volume without improving outcomes, particularly in poorly targeted outreach. More emails, more messages, and more automation do not necessarily lead to more business if the underlying strategy is weak.
The goal should never be automation for its own sake. The goal should be better decisions, stronger engagement, and improved conversion.
The Human Element Still Matters
Despite the capabilities of AI, some sales processes should remain firmly human-led.
Relationship building, personal brand, complex negotiations, and strategic decision-making should be led by your sales team members themselves. In hospitality, personal connection and trust are critical to long-term success.
The commercial teams I have led have been very intentional about using AI as a support tool rather than a replacement. For example, AI may draft initial outreach or summarize client insights, but all client-facing communication, especially for key accounts, must be reviewed and personalized by the sales manager before it goes out.
In hospitality, where relationships are central, maintaining authenticity is critical. AI works best when it enhances consistency and speed behind the scenes, while the human element remains front and center.
Building the Right Foundation
I see many hotels rushing into AI implementation before they are ready.
Hotels often face challenges such as unclear use cases, poor data quality, low adoption, and disconnected systems. Successful implementation requires both strategic clarity and operational alignment.
The main challenges we have experienced included ensuring clean, structured data before layering in AI. Notably, what the team entered into our AI tools mattered—the more specific the request, the better the output.
Driving team adoption was another hurdle. There was some initial resistance due to perceived complexity and skepticism. Addressing these challenges required clear use cases, training, and strong change management.
Effective AI relies on high-quality CRM data, historical booking and revenue data, well-defined customer segments, and strong integration across systems like CRM, PMS, and RMS.
AI outputs should always be validated with human judgment, and teams should view AI as a support tool rather than a decision-maker.
Hotels should also evaluate data quality, process consistency, system adoption, and internal alignment before introducing AI. If foundational systems are not fully utilized, AI adoption will be challenging.
A Practical Starting Point
For hotels concerned about budget, the good news is that meaningful results do not require a major investment.
A phased approach works best, starting with lightweight integrations and pilot programs to avoid disruption. Alignment across commercial teams is also key.
I recommend starting small and focusing on areas with immediate impact:
-
Use AI for email drafting and follow-ups to save time daily.
-
Implement basic CRM automation such as lead measurement or reminders.
-
Leverage AI for meeting notes and summaries to reduce administrative work. (Otter is a great free tool I use.)
AI is not a shortcut to commercial success, it is an amplifier.
When paired with strong data, clear processes, and experienced sales professionals, it can help hospitality organizations move faster, respond smarter, and focus their energy where it matters most: building relationships and driving revenue.
