How smart budget decisions today can help your team respond faster, win more group business, and create better planner experiences next year. 

By July, budget season is already well underway across hotels, resorts, and venues. Corporate teams are reviewing performance, building next year’s assumptions, and sending budget workbooks back to property leaders. Those early conversations often determine which priorities get funded and which have to wait another year.

That’s what makes this one of the most important times of the year for hotel sales leaders.

Budget season isn’t really about budgets. It’s about deciding what your sales team needs to win more business next year.

Every line item tells a story. Some simply reflect rising costs. Others represent investments that help sales teams respond faster, stay organized, create better experiences for planners, and ultimately close more business. The difference comes down to how well that story is told before the budget is finalized.

The budget cycle is the one time each year when a sales team’s needs are formally on the table. What gets approved today often shapes how effectively your team can sell next year.

  1. Start with what you’re trying to improve

One of the most encouraging changes we’ve seen in recent years is the conversation itself.

More hotel leaders are asking, What will this help us accomplish? instead of simply, What does it cost?

Do you want stronger lead conversion? Faster turnaround on RFPs? Better visibility into your sales pipeline? Fewer manual tasks? A smoother experience for planners? A system that helps people sell instead of creating more work?

Those are business questions, not technology questions, and they belong at the center of every budget discussion.

The industry is moving in the same direction. The 2026 Hotel Technology Outlook found that 51 percent of hotel organizations expect to replace or upgrade parts of their technology over the next 12 to 24 months.

When investments are tied to business outcomes, the return becomes much easier to justify.

If a new process gives every sales manager several hours back each week, helps proposals reach planners faster, or shortens the time between inquiry and signed agreement, it is helping generate revenue, not simply adding another operating expense.

One practical habit can make a significant difference. Document the business reason behind every major investment while budgets are still being developed. By the time budgets go through multiple revisions in the fall, that context often proves just as valuable as the numbers themselves.

  1. Take a closer look at annual increases

Some costs naturally increase every year.

Food costs change. Utilities change. Operating supplies change. Every hotel is managing those realities.

Technology deserves a different conversation.

When a technology partner proposes an annual increase, it’s reasonable to ask what has changed.

Budget season is the ideal time to have those conversations.

  1. Budget for more than the purchase

The purchase price is only part of the investment.

Also plan for onboarding, training, data migration, integrations, and the time it takes for people to become comfortable with new workflows.

Even the best software delivers its greatest value when teams feel confident using it.

That’s why implementation, ongoing support, and customer service deserve just as much attention as the feature list.

It’s also worth discussing data ownership early.

Where is your information stored? Can you access it easily? How would your data be transferred if ownership changed or you decided to move to another platform in the future?

These conversations are much easier before contracts are signed than after.

Finally, leave room for flexibility. Hospitality changes quickly, and creating a modest contingency allows you to respond to new opportunities without reopening the budget.

  1. Protect the line item that keeps great people

Budget discussions often focus on expenses.

One investment deserves equal attention: your sales team.

Incentive plans help retain talented sales professionals and reward strong performance. If someone exceeds expectations and delivers exceptional results, you want the budget to recognize that success rather than limiting it.

Compared to the revenue high-performing sales managers generate, protecting incentive compensation is often one of the smartest investments in the budget.

  1. Choose partners, not just platforms 

If you’re evaluating new hotel group sales and catering technology this year, approach the process the same way you would any important hospitality decision.

If you’re beginning that evaluation, it can also be helpful to review how today’s hotel group sales and event management platforms support everything from lead management and proposals to contracts, reporting, and planner experiences. Exploring the capabilities available today can help create a more informed budget discussion before final decisions are made. 

Start by defining why you’re considering a change. Are you looking to improve responsiveness? Simplify workflows? Reduce manual effort? Improve reporting? Support multiple properties more effectively?

Knowing the objective keeps every conversation focused on outcomes instead of feature comparisons.

Take time to evaluate several providers.

Speak with long-time customers, recently onboarded customers, and organizations that have been using the platform for a few years. Each brings a different perspective.

Invite your sales managers into demonstrations.

They’ll quickly identify whether a workflow fits the realities of selling group business. Their input often improves adoption later because the people using the system every day have helped shape the decision.

It also helps to look at your competition.

Request proposals from nearby hotels and venues. Review what planners are receiving today. It’s one of the fastest ways to understand how your property compares and where improvements could make the biggest difference.

Integration deserves close attention as well. The NYU Tisch Center’s 2026 Hotel Technology Study found that 38 percent of respondents identified system integration as one of their biggest technology challenges.

Finally, ask about support.

Who answers the phone? How quickly are issues resolved? Will you work with people who understand hospitality sales and events?

AI is becoming an increasingly important part of hotel technology planning.

A 2026 global study of more than 400 hotel technology decision-makers found that 85 percent expect to allocate at least five percent of their IT budgets to AI, while more than half expect AI spending to exceed ten percent.

The greatest benefits reported by hoteliers are practical ones: reducing manual work, automating routine tasks, improving guest satisfaction, and helping teams spend more time on higher-value activities.

For hotel sales teams, that means less administrative work and more time building relationships, conducting site visits, responding to planners, and winning business.

One simple exercise is worth trying this month.
