How Do I Add a Booking Engine to My Hotel Website?

A direct online booking engine attached to your website and integrated with your property management system (PMS) is crucial for gathering profitable reservations. It enables you to bypass commission fees charged by online travel agencies (OTAs) and collect rich guest data to tailor the stay experience and build loyalty. Plus, guests expect the convenience of booking directly on your site, and missing this expectation creates confusion and interrupts the customer journey.

It’s easy to add a booking engine to your hotel website. Here’s how:

PMS Integration – Choose an online booking engine (OBE) that connects to your PMS to ensure that rates and availability flow automatically between systems. This eliminates manual double entry, saving time while reducing overbookings and other errors. Most PMS include a booking engine at no additional cost. If your provider charges commission fees on direct bookings, look elsewhere. 

Brand Customization – Your booking engine should be a seamless extension of your website with the same brand signals to build trust and reassure guests. A comprehensive solution like WebRezPro empowers you to customize your OBE with options for your logo, brand colors, images, custom messaging, and more.

Placement – Consider where and how your booking engine is accessed from your website. It should remain unobtrusive—you don’t want to be pushy—but clearly visible on every page. Many hoteliers use a booking widget as well. It appears as a mini-search form, allowing visitors to enter stay dates and number of guests to instantly search availability. 

It’s also a good idea to add unit-specific booking links on your “Rooms” page for each unit type. That way, guests can easily search availability for a particular unit. This works for packages and other special deals too; include rate-specific links that return availability for that offer. The more you can streamline the booking process, the better. Take the guest exactly where they want in as few clicks as possible.

Website Integration – To add the booking engine to your website, insert the HTML code generated and provided by your PMS into your web code, according to where (and how) you have decided to place it. The HTML code varies depending on the format(s) you choose—e.g., a “Book Now” button, widget, or unit-specific link—so take care to use the right code in the right place.

Security – To safeguard guest data and your business, your booking engine must come with TLS/SSL encryption and a PCI-compliant payment gateway for accepting credit card information. Visual trust signals such as security badges help assure guests that the process is safe.

Test – Make a test booking from your website to verify your OBE looks and functions as intended. Better yet, have a friend or relative accomplish this for you. Because they don’t already have experience with the process, they’ll be well placed to spot any confusing elements.

Adding a direct online booking engine to your property’s website is essential for meeting customer expectations and boosting—or even sustaining—your bottom line. Choose a secure, user-friendly solution that reflects your branding and make it easily accessible from every page.
